No-code AI agents for a lean investment office
German single-family office set out to make its operations more scalable by taking repetitive, manual work off its team. Intelvision analysed the office’s most time-consuming processes and built a set of no-code automation agents to run them, designed to free up several hours of senior capacity a day.
- Time to engage: under 2 weeks
- Team involved: 2 AI developers, 1 business analyst, consulting lead
- Duration: 3+ months
- Scope: Process analysis, no-code automation agents
About the company
The client is a German single-family office managing a diversified, multi-company investment portfolio across several mandates. It runs lean, with a small senior team handling day-to-day operations, and set out to make those operations more institutional and scalable by moving repetitive manual work onto automation.
Project Overview
The office runs lean and founder-led, with a small senior team carrying a diversified, multi-company portfolio. A good share of day-to-day time still went into repetitive, manual tasks and follow-ups — the natural stage for a fast-growing office, and the right moment to make routine work institutional. The goal was to automate the most time-consuming processes so senior time goes to decisions and portfolio value rather than admin.
Intelvision began by analysing the office’s processes to find the most manual, most time-consuming ones, then designed the automation approach and built it with its own AI developers. The first iteration is already live: three no-code agents — a Meeting agent, a Knowledge Base agent and a Financial Reporting agent — that take over recurring work. The agents are also designed to double as the foundation for a larger operating system the office plans to add on top later.
Challenges
Repetitive work worth automating
A large share of day-to-day time went into recurring manual tasks and follow-ups, necessary but low-value work and a clear candidate to hand to automation.
Information spread across tools
Knowledge lived across the knowledge base, email and communication, so there was a clear opportunity to make any answer findable in one place.
Senior time better spent on strategy
As a lean, founder-led office, it set out to move routine work off the senior team, so those hours go to portfolio and growth instead.
Solution
Intelvision mapped the office’s manual, repetitive processes, ranked them by time cost, and built a set of no-code automation agents to take over the heaviest ones, delivered by its own AI developers alongside the business analysis and technical approach.
The engagement included:
- Process analysis: a structured review of the office’s most manual, most time-consuming processes, turned into a prioritised automation plan.
- Solution design and build: the technical approach for the automation agents, designed and built by Intelvision’s own AI developers.
- A foundation to build on: the agents are designed to double as the base layer for a larger operating system the office plans to add later.
The automation agents:
- Meeting agent — captures and structures what happens in meetings so nothing has to be re-done by hand.
- Knowledge Base agent — makes information across the knowledge base, email and communication quickly findable.
- Financial Reporting agent — takes over recurring reporting work.
